Strata & Owners Corporations

Strata Records Scanning & Digitisation Sydney

Boxes of old AGM minutes, by-laws and levy records? We sort, scan and OCR historical strata records into a searchable archive. Discuss handling and return requirements before providing records.

Overview

Strata records scanning turns an owners corporation's paper history into an electronic archive that the committee and strata manager can actually search. Under NSW Government guidance, records a strata scheme creates from 11 June 2024 must be kept electronically, and records such as strata roll changes, financial records and correspondence must be kept for seven years. Many schemes still hold decades of paper from before that date; scanning it is optional, but it puts the whole history in one searchable archive. We sort the files, scan them with specialised handling for fragile pages, run OCR to create searchable text and organise documents by category and date. Agree checks for important references and extracted values.

Key Benefits

We can start from unsorted boxes of unknown volume and condition
Filed by category: minutes, by-laws, strata roll, financials, levies, insurance and more
OCR-searchable PDFs: search for a lot number, contractor or resolution
Careful handling for old typewritten, faded and fragile pages
Consistent file names, e.g. 2025-08-26_AGM-minutes_SP12345.pdf
Discuss how originals need to be returned before providing records

How a Strata Records Project Works

Tell us roughly what you have: “a few boxes, condition unknown” is enough to start. We discuss handling requirements and a folder structure with your committee or strata manager before accepting the project. The records are sorted, scanned with specialised handling for fragile pages and OCR-processed, and every file is named by date, document type and strata plan number. Discuss your preferred delivery destination and return arrangements during scoping, before sharing records.

AI-Powered Document Intelligence

Ask Your Strata Archive a Question

Once your strata records are digitised, the committee can ask questions in plain English and get answers that cite the exact document. Example from a sample scheme: AI document chat is an optional add-on to scanning and digitisation. The conversation below is synthetic: its sample counts, values and estimates illustrate a workflow, not measured service results.

1. We Scan & OCR Your Documents

OCR creates searchable text. Agree sample checks and review requirements for your documents.

2. AI Indexes Your Knowledge

Your documents can form a searchable knowledge base powered by AI embeddings, subject to the processing arrangements discussed for your project.

3. Ask Questions, Get Answers

Your team asks questions in plain English and checks the answers against references to the source documents.

Answers with source references for review
Every answer is traceable back to the source document

When was the roof last inspected, and what did it recommend?

The roof inspection report of 29 July 2025 estimated $38,500 for roof works. The work is scheduled for 2026/27 in the 10-year capital works fund plan, and the 2025 AGM resolved to obtain quotes.
